Job Overview:

Join our team as an Office Manager where your role is integral to our success. In this dynamic position, you'll oversee IT operations, maintain our financial heartbeat through meticulous bookkeeping, and manage critical communications with our donor base using platforms like Google Workspace, Squarespace, and Little Green Light. Your knack for swiftly navigating databases will support our executive team's fundraising efforts and keep our organizational pulse steady through effective donor engagement.

This position is tailor-made for a proactive problem-solver adept at juggling various tasks, eagerly embraces new technology, and isn't shy about diving into challenges or asking the right questions to move initiatives forward. Your role is more than operational; it's about innovating solutions that keep our nonprofit at the forefront of conservation.

Specific Job Duties:

  • IT Operations Management:
    • Administer and streamline the use of technology tools such as Google Workspace, Squarespace, Little Green Light, and Constant Contact to support organizational operations.
    • Coordinate with external IT contractors to ensure technological goals align with the strategic objectives of The Company.
    • Oversee domain management and maintain the organization’s online presence through platforms like Issuu.
  • Bookkeeping and Financial Administration:
    • Perform daily financial tasks including mail collection, check deposits, and accounts payable procedures.
    • Conduct thorough monthly reconciliations for bank and credit card statements.
    • Manage payroll operations for a team of four using Paychex, including accurate reporting and contribution to employees' 403b plans.
    • Prepare financial documents for QuickBooks reviews and support the Controller in tax documentation and annual filings.
  • Database and Donor Relations Management:
    • Maintain and utilize various databases to enhance donor communications and manage contributions.
    • Ensure the issuance of thank you notes and tax acknowledgment letters, contributing to donor satisfaction and retention.
    • Aid in the digital publication process for newsletters and scientific journals, ensuring content is accessible through the company’s digital platforms.
  • Development and Fundraising Support:
    • Assist the Executive Director and President in developing and monitoring fundraising strategies.
    • Manage donor data, producing insightful tracking reports that inform fundraising efforts and donor engagement activities.
    • Provide support for digital fundraising campaigns and play a key role in expanding the organization’s outreach.
  • Meeting Coordination and Documentation:
    • Facilitate logistics for various organizational meetings, including those of the board of directors, staff, and editorial teams for scientific journals.
    • Accurately record and distribute minutes, ensuring that all attendees are informed of outcomes and action items.
  • Compliance and Regulatory Filings:
    • Ensure the organization meets all requirements regarding registered agents and timely submission of agency filings.

Job Requirements:

  • 2+ years of relevant work experience as an Office Manager or 4+ years of relevant work experience
  • 1+ years of work experience as a bookkeeper or similar role
  • Experience managing databases (Constant Contact or website tools, for example)
  • Experience setting up virtual and live meetings and issuing meeting reminders and minutes
  • Experience and proficiency with Quick Books, Microsoft Word, and Excel
  • Organized, detailed oriented, good at follow-up, tech-savvy, self-starter, willing to learn, and able to manage multiple priorities

Not Required but a Plus:

  • Working with remote teams and donor administration
  • Conservation awareness
  • Experience with company database tools Constant Contact, Little Green Light
  • Technical background Issuu, Squarespace, and website tools

Candidate must be legally able to work in the United States and must pass a criminal & credit background check.
