Administrative Assistant - Part-Time Position

The Position: Cascadia Partners seeks an Administrative Assistant who excels at providing administrative and operational support to join our 25-person urban planning firm. This role will directly report to and support the firm’s Operations Manager and provide as-needed support to a team covering Human Resources, Finance, and Marketing. 

Ideal candidates are highly organized, tech savvy, and are comfortable with variety and shifting between administrative tasks, office logistics, and impromptu requests for support throughout the day.

Key responsibilities include coordinating meetings and travel logistics, maintaining a well-organized office, and supporting project tracking and event planning. This is an hourly, part-time position (18 hours per week). Candidates should be local to the Portland metro area and willing to be in office 2-3 days per week.

Responsibilities

  • Manage office supply inventories, maintain the general upkeep of the office and kitchen, and serve as a liaison with building management and maintenance vendors
  • Arrange meetings across multiple calendars, manage travel bookings, and support event logistics
  • Assist in coordinating hiring, onboarding, and offboarding activities
  • Help maintain and implement internal tools and systems used for operational workflows
  • Assist in ensuring accurate vendor records, contracts, and compliance documentation
  • Assist with basic tech support issues (wifi) and help to maintain office equipment (printers)
  • Make basic content updates to the company website using Squarespace
  • Prepare and file documents and forms, maintain organized digital and physical files

Experience

  • 2+ years of administrative or operations support experience preferred, preferably in a hybrid environment
  • Proven ability to succeed in a fast-paced, detail driven environment 
  • Experience coordinating team meetings across multiple calendars and supporting travel and event logistics

Skills

  • Strong proficiency across digital platforms including Google Workspace (Calendar, Drive, Docs, Sheets), Slack, and Adobe Acrobat; demonstrated ability to learn new platforms and tools
  • Proficiency with a website content management platform such as Squarespace - Preferred
  • Strong organizational skills and high attention to detail, including accurate data entry 
  • Strong written and verbal communication skills
  • Ability to manage and prioritize multiple tasks simultaneously
  • Ability to clearly communicate and manage tasks with team members on collaborative hubs such as Slack

Compensation, Benefits, Vacation 

  • Hourly, part-time (18 hours per week) with a pay rate of $24 - $26/hr (depending on experience)
