King County Metro Transit's Facilities Division has an exciting opportunity for a high-performing, experienced, and self-motivated Executive Assistant (Executive Secretary/Assistant I).
We are looking for a highly skilled dedicated Executive Assistant to provide direct support to the Division Director's office of the Transit Facilities Division. This role requires exceptional professionalism, and the ability to manage/handle confidential information and time sensitive priorities with efficiency.

About Metro's Facilities Division

The Transit Facilities Division (TFD) maintains all Metro Transit properties, such as bus bases, park & rides, bus shelters, and offices and maintenance shops. Services include bus shelter repairs and replacements, bus shelter cleaning, trolley wire repairs, radio maintenance for buses, environmental spill clean-up, bus sign replacement, graffiti removal, and other facilities maintenance duties. Additionally, the Facilities Division also implements capital improvement and grant-funded projects aimed to enhance the condition of County-owned facilities and to respond to ridership needs based on route usage and customer feedback.

This recruitment may immediately fill one (1) Appointed position and may also be used to establish an eligibility pool to fill future vacancies in this classification and within this division that may occur over the next 12 months, at the discretion of the hiring authority.
Candidates selected to advance in the process will first be invited to complete a skills test, currently anticipated to occur between April 14 through April 18, 2025, but dates are subject to change. The most competitive candidates may then be invited to interview; interview dates are still to be determined.

Job Duties
Applying equity and social justice principles is a daily responsibility and a foundational expectation for all King County employees. All employees are expected to model and apply our equity and social justice shared values, behaviors, and practices. As the Executive Assistant, you will also:
  • Maintain a dynamic and, at times, demanding schedule for the Transit Facilities Division (TFD) Leadership Team member(s) and staff that the position support by managing time and calendar commitments.
  • Draft and edit emails, memos and other communication on behalf of Director's office.
  • Arrange travel, accommodations, and itineraries for business trips.
  • Assist with special projects and strategic initiatives.
  • Prepare reports, presentations and other business documents as needed.
  • Support leaders to plan and execute their vision, goals, and objectives.
  • Serve as the primary point of contact between the Director's office and internal/external stakeholders.
  • Provide technical and logistical support for division and department-wide meeting facilitation and coordinate follow-up efforts.
  • Frequently disseminate and relay instructions from Director's office to other staff and ensure follow-through of those instructions.
  • Assist with administration of Division's policies and procedures as well as help create and implement new ones.
  • Serve as lead for annual activities/tasks, ensuring timely completion.
  • Support budgeting and expense tracking for Director's office.
  • Perform other duties as assigned.
Experience, Qualifications, Knowledge, Skills
To be considered eligible for this role, applicants must possess these MINIMUM QUALIFICATIONS
  • Three (3) or more years of senior-level administrative professional experience, ideally supporting executive leaders.
  • Proven ability to provide excellent customer service that is sensitive to, and reflective of, Metro's commitments to equity, social justice, inclusion, and belonging.
  • Good judgment and the ability to seek direction and make independent decisions in alignment with division priorities.
  • Experience managing highly confidential and sensitive issues effectively and with integrity.
  • A proactive mindset with the ability to handle competing priorities, take initiative, and elevate issues to division leadership for resolution.
  • Excellent organizational skills; attention to detail without losing sight of the big picture.
  • Comfort navigating uncertainty and ability to adapt in a dynamic environment.
  • Experience building relationships across organizational units with an ability to be an open, collaborative, and trusted teammate.
  • Demonstrated experience in drafting, preparing, and editing dynamic and high-visibility communications for executive leaders.
  • Intermediate or expert-level skills with technology tools: Outlook, Excel, Word, Teams, etc.
  • Understanding of how large organizations work and the ability to get things done through formal and informal channels.
  • Experience creating and directing standard administrative processes or making existing processes more efficient.

  • Knowledge of King County and/or Metro Transit policies and procedures.
  • Experience with other Microsoft products, such as SharePoint and Visio.

WORK LOCATION AND ENVIRONMENT

The work associated with this position will be performed through a combination of teleworking complemented with onsite work, with anticipated on-site work comprising an average of 1-3 days per week. Employees will be required to travel to various County properties/locations in the regular performance of assigned duties. Employees will have access to shared workspaces at various King County facilities. Employees must reside in Washington State and within a reasonable distance of their King County worksite to respond to workplace reporting requirements.
Employees will be provided with a County issued laptop and must maintain a workspace with an internet connection (access may be supplemented in some situations) where they can reliably perform work and remain available and responsive during scheduled work hours.
WORK SCHEDULE
This position is anticipated to be full time, assigned 40 hours per week, typically Monday through Friday. This position is non-exempt from the provisions of the Fair Labor Standards Act and is therefore eligible for overtime pay. This position is eligible for telework/remote work.
