ARCS Foundation Oregon, Administrative Assistant (Remote)
The Administrative Assistant (AA) position performs clerical and administrative tasks for ARCS Foundation Oregon (ARCS) to include but not limited to, communications and interactions via phone, text, and email, mail, mailings and clerical projects, and support the regular reporting on updates and issues. ARCS will also rely on the AA to review processes in order to streamline administrative operations and ease the burden on ARCS volunteers. Also required to maintain an orderly document system and perform the duties of this position within approved policies and guidelines.
Executive Director Support
Working directly with the Executive Director (ED) on special projects as assigned. Under the direction of the ED, prioritize communications and requests from members, stakeholders, universities, and supporters.
Board Leadership Support
Working with the ED and Board Leadership, compile materials needed for meetings, develop presentations, and liaison with Committee chairs for timely submission for necessary inspection for Board reporting.
Overall Committee Support
Support Committee Chairs in packet and material access and updates, send reminders to Committee members, attend Committee meetings and take notes/minutes for review and distribution.
Support Committees in following their planning tools and keep abreast of action items for follow up and reminders.
Philanthropy Support
Responsible for database data entry and reconciliation. Develop and generate reports as requested. Communicate with donors and sponsors in a timely and professional fashion.
Finance Support
Working with the Finance Committee and the ED, support financial and accounting issues related to AP, AR, payroll, CC, expense reimbursement, and budget tracking by performing data entry.
Member Support
Working with the Member Relations Committee and the ED, support member renewals, questions, member related events and gatherings, and ensure member information is accurate and tracked.
Scholar Support
Working with the Scholar Relations Committee and the ED, ensure all information is gathered on students, contact information is accurate and accessible. Generate needed reports and communication lists as requested.
University Relations Support
Working with the ED and the University Relations Committee, ensure the contact lists for University Liaisons, Scholar Advisors, and University Supporters are accurate and accessible. Generate needed reports and communications lists as requested.
Event Support
Provide administrative and onsite support for all ARCS events, gatherings, and programs.
Special Projects
2026 finds several large special projects related to record retention, confirmation of contact information for various stakeholder groups, new event planning and implementation, and development of streamline process and revising planning documents and policies.
POSITION SPECIFICS:
Position begins July 6, 2026. This position is approximately 25 hours a week, with an initial probationary salary of $29/hr. To $30/hr. upon successful completion of probationary period (90 days).
A monthly stipend for health, dental and vision benefits.
3% Employer Match Simple IRA.
The Administrative Assistant is a remote position, with some on-site meetings or visits to our three partnership University as assigned. Office technology equipment available and remote work stipend to offset internet and utility costs.
Home office is preferably located in the greater Portland area for ease of connection with the Vancouver based Executive Director and Portland based leadership.

ARCS Foundation Oregon is seeking a detail oriented, clerically skilled, and customer service-oriented Administrative Assistant for a remote part-time position supporting our state-wide Oregon organization. Must be a collaborative communicator, have an eye for efficiency, be both an independent implementer while ensuring progress is clearly communicated, ensuring that there is clarity of the process to accomplish assigned tasks and have a steady, calm demeanor to work with a diverse group of highly professional women philanthropists.
