Reports to: Lending & Compliance Manager

Status: full-time, non-exempt

Level: 16

Position Overview:

The Closing Coordinator will work directly with the Lending & Compliance Manager to coordinate and assist in the home sale process. This position will serve in an administrative role that may assist with multiple steps in the sales process from completing loan applications, to coordinating third party vendors such as appraisers or inspectors and completing homebuyer orientations.

Responsibilities:

Pre-Closing Support for Homebuyers

  • Perform support services and tasks to assist homebuyers through the closing process within the identified timeframe in collaboration with the Lending & Compliance Manager.
  • Assemble, prepare, and assist the Lending & Compliance Manager, and homebuyers in the completion of pre-closing and closing paperwork including sales agreements and loan applications.
  • Assist in the completion of down payment assistance, tax abatement and other affordable homeownership program paperwork and reporting requirement including income verification and documentation.
  • Coordinate with homebuyers and third-party vendors to complete appraisals and home inspections.
  • Coordinate legal reviews of permanent affordability documents with buyers.
  • Coordinate and participate in construction walk-throughs and homebuyer orientations prior to purchase.

Administrative Support

  • Create and maintain property files after closing. Ensure that all recorded documents are received, and documents are scanned and filed according to procedures.
  • Enter buyer information into HomeKeeper database post closing.
  • Prepare homeowner manuals for buyers.
  • Educate and assist buyers with transition to homeownership including transferring utilities and completing change of address forms.
  • Assist with scheduling closing meetings with buyers, Habitat staff, and title companies.
  • Assist Lending & Compliance Manager with communication to current homeowners regarding selling their home, mortgage balances or loan related requests.
  • Maintain up-to-date transaction status in mortgage Smartsheet to ensure effective communication of closing process across department.
  • Update monthly metrics data for the lending team.
  • Other duties as assigned by the Lending & Compliance Manager.

Requirements

Required Knowledge, Skills, and Experience:

  • Minimum of 3 years of relevant experience.
  • Strong organization skills in prioritizing and managing multiple tasks.
  • Ability and commitment to provide outstanding customer service to homebuyers and homeowners.
  • Interest in and commitment to affordable homeownership
  • Ability to identify problems in a timely manner, make recommendations toward solving problems.
  • Proficient with Microsoft Office, databases, and ability to learn as needs of the job and available technology evolves.
  • Knowledge and willingness to keep educated of applicable lending laws and regulations.
  • High level of written and verbal interpersonal skills; comfortable interacting with culturally and linguistically diverse clientele.

Preferred Knowledge, Skills, and Experience:

  • · Any qualifying combination of education, certification, and experience that demonstrates the ability to perform the duties of the position.
  • Verbal fluency in Vietnamese, Burmese, Spanish, Arabic, Russian, or Amharic.
  • Experience working with Salesforce or similar CRMs.
  • Knowledge of real estate documents, requirements and mortgage processing preferred.

Work Environment and Physical Demands

· This job operates in a fast-paced, business casual office environment in the Eastside Habitat office location

· The employee will routinely use standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines

· This is largely a sedentary role with some filing work, which requires the ability to lift files, open filing cabinets, bend, and stand on a stool as necessary

· This position may have occasional local travel – typically to other Habitat locations

Schedule

  • 40 hours a week, M-F 8:30am-4:30pm in-office
  • Occasional overtime may be necessary

Starting Salary Expectations:

Minimum $19.45/hour to wage range midpoint of $24.32/hour. Placement will generally not exceed the midpoint based on qualifications, experience, and internal equity. The full wage range is $19.45/hour to $29.18/hour.
