The Team
In partnership with leaders and subject matter experts across the organization, the Business Office supports the mission of OHS through providing accounting services and financial analysis. As an organization, OHS is focused on building innovative financial processes that provide transparency, accountability, and integrity. The Business Office builds these processes collaboratively with other teams within OHS, and plays a key role in ensuring the financial sustainability of the agency. The Finance team within the Business Office focuses primarily on stewardship of critical accounting processes and systems and provides key technical guidance and administrative support in accounting matters.

The Position
As Accounting Specialist, you will perform daily accounting and administrative activities within OHS. You will ensure that your activities are both timely and accurate, while providing excellent customer service and support for internal and external customers of OHS. This position is responsible for assisting in the preparation of financial statements by managing the accounts payable processes. You will ensure that other key administrative responsibilities of the Business Office are fulfilled, and you will be a first point of contact for staff with questions on standard accounting and administrative processes, particularly as it pertains to accounts payable and credit cards

• Leverage our best practices externally and grow OHS’ reputation as a leader in the animal welfare space.

PRIMARY RESPONSIBILITIES
• Directly responsible for accounts payable and credit cards. Ensures accurate and efficient processes with strong internal controls.
• Process vendor payments and purchase order creation requests.
• Manage corporate credit card program and perform monthly credit card reconciliation process.
• Maintains and ensures compliance with policies and procedures as it relates to accounts payable.
• Verify budget availability before paying invoices.
• Perform cash receipting activities as needed.
• Perform mail room activities.
• Research discrepancies in accounts payable processes and vendor statement reconciliations
• Manage vendor records and update vendor W-9 forms as needed.
• Work with purchasing staff to maintain contract records.
• Create basic journal entries as needed to correct discrepancies.
• Create basic accounting reports and perform accounts payable reconciliations as needed.
• Develops, documents, and executes continuous improvement of accounts payable processes.
• Responsible for the 1098/1099 reporting process.
• Other duties as assigned.

• A minimum of 2 years of relevant accounting experience, or comparable administrative experience.
• Able to exercise sound judgment and maintain a professional demeanor during all interactions with the public, partner agencies, donors, staff and volunteers.
• Proficiency using the Microsoft Office Suite, including Outlook, Word, Excel.
• Preference for experience using a financial system of record. NetSuite experience a plus.
• Excellent verbal and written communication skills - able to communicate with a diverse population in a consistently informative, respectful and professional manner.

Work Environment Conditions & Physical Requirements
This position interacts and collaborates will all levels of the organization, including OHS staff, executive team members, donors, general-public, external vendors, volunteers, and supporters. Contact and communication is carried out through face-to-face, telephone and digital interactions. Excellent customer service skills are essential to success. Communication must be clear, understandable, professional and respectful in all circumstances.

WORKING CONDITIONS
• Work is performed in an office and medical center/animal shelter environment.
• Travel between the two campuses may be required.
• Working at both campuses may be required.
• Occasional weekend and evening work may be required.
• Animal contact and related injuries may occur.
• Noise exposure varies and sometimes includes uncontrolled barking and other animal vocalizations.
• Pace of work is active and demanding, requiring a high degree of multitasking and ability to adapt to changing priorities while managing concurrent projects/tasks to completion.
• Contact with angry or emotional people may occur.

PHYSICAL REQUIREMENTS
• Occasional moving items above shoulder level.
• Occasional use of hands and arms at or above shoulder level.
• Prolonged standing, sitting and/or stooping may occur.
• Occasional climbing and bending.
• Must be able to remain in a stationary position for prolonged periods.
