The Position

Responsible for strategic leadership and operational oversight of shelter operations at the Oregon Humane Society, including Animal Care, Customer Care, Foster, and Admissions and Intake. Operational oversight is delivered by setting meaningful and realistic goals, planning and execution management, thorough analysis of issues, dealing with disagreements and problems quickly and decisively, in addition to managing structure and staff and developing systems and processes that maximize department and organization effectiveness. Is the conduit between Salem and Portland activities to ensure an enterprise-wide mindset while recognizing the differences between each location.

  • Manage day-to-day implementation and support for key activities including coordination with other teams implementing complementary activities.

LEARNING

  • Contribute to regular dialogue and accountability with the leadership team and across the organization to review progress and course correct, if necessary.
  • Ensure data and insights to identify, understand and articulate the key inputs and metrics that tell the story of the organization/team strategy and its progress.
  • Build appropriate feedback loops to see if we are meeting key milestones and if the impact planned is being felt across the organization.

INFLUENCE & REPRESENTATION

  • Represent OHS, as requested, at key stakeholder and sectorial meetings or engagements.
  • Communicate effectively to executive, and other stakeholder groups to ensure they are informed and able to actively engage
  • Liaise with and maintain productive relationships with all stakeholders, including other departments, and donors; build mutually rewarding professional relationships inside OHS at all levels.
  • Leverage our best practices externally and grow OHS’ reputation as a leader in this space by identifying opportunities to share the process and results in the broader animal welfare sector through presentations, whitepapers, blogs, etc.
  • Work closely with teams established in Portland to ensure adequate Salem representation and helping to define and guide Salem messaging.
  • Provide leadership, mentorship and guidance to all OHS teams at the Salem campus.

PRIMARY RESPONSIBILITIES

  • Vision and Leadership: Cultivate a shared vision among Salem operations and other relevant teams, providing clear guidance, priorities, and role clarity. Work with team members to manage competing priorities and pursue mutually beneficial solutions that align with OHS’s mission.
  • Strategic Planning: Develop and implement realistic, integrated short- and long-term plans (1-year and 5-year) for assigned departments to achieve organizational goals.
  • Performance Management: Create, monitor, and improve Key Performance Indicators (KPIs) for the Salem operations team to maximize animal care and services.
  • Financial Management: Strengthen OHS’s financial position through budgeting, revenue generation, and expense management, ensuring alignment with established policies and financial goals.
  • Philanthropy and Stewardship: Encourage a philanthropic culture within departments, emphasizing stewardship and community engagement.
  • Team Leadership and Empowerment: Structure, assign, and delegate tasks to maximize staff and volunteer effectiveness. Provide support, remove obstacles, and foster accountability, motivation, and shared recognition.
  • Operational Improvement: Design efficient processes and systems, collaborate across departments, and encourage innovative thinking. Track progress, address barriers, and report outcomes regularly.
  • Time and Task Management: Confidently manage daily challenges, efficiently allocate time, adapt to shifting priorities, and maintain resilience in complex situations. Conduct productive meetings.
  • Relationship Building: Foster respectful, professional relationships with internal and external stakeholders, encouraging collaborative problem-solving and conflict resolution.
  • Networking and Representation: Build and maintain relationships with key external stakeholders in animal welfare to positively represent OHS’s interests.
  • Leadership Development: Coach and develop leaders, assess team strengths, provide performance feedback, and support professional growth in line with ethical and legal standards.
  • Safety Management: Ensure a safe work environment, promptly addressing hazards as they arise.
  • Change Facilitation: Act as a change agent by staying informed on animal welfare issues, using data to make informed decisions, and navigating uncertainty with expertise.
  • Perform any other duty as requested by management.

  • 5 years’ related work experience, including progressively complex project and/or people management responsibilities
  • Able to develop and manage people and projects to achieve and/or exceed organizational objectives
  • Able to set goals, prioritize, delegate work, and provide feedback to others to complete multiple tasks on or before deadline while demonstrating a high degree of independence, initiative, and organization
  • Excellent verbal and written communication and collaboration skills to effectively communicate with technical, internal, and external audiences, leveraging a variety of communication channels
  • Able to prepare, evaluate, and report out on financial and operational performance metrics of moderate to high complexity
  • Able to effectively respond to project workflow issues and demonstrate sound judgment of the need for support services
  • Able to demonstrate discretion, integrity and confidentiality when dealing with personnel issues, financial issues, and intellectual property
  • Proficient in the use of Microsoft Office tools including Word, Excel, PowerPoint, and Outlook
  • Able to work evenings, weekend, and/or holiday as business operations demand
  • Must be aware of key functional dependencies across the organization and identify solutions when needed
  • Satisfactory completion of Criminal Justice Information Services (CJIS) background check including fingerprinting
  • Able to maintain a valid Driver’s License and provide proof of auto insurance is preferred
  • CAWA certification preferred

Work Environment Conditions & Physical Requirements

This position interacts and collaborates will all levels of the organization, including OHS staff, executive team members, donors, general-public, external vendors, volunteers, and supporters. Contact and communication is carried out through face-to-face, telephone and digital interactions. Excellent customer service skills are essential to success. Communication must be clear, understandable, professional, and respectful in all circumstances.

Working Conditions

  • Work is performed at home or in an office and medical center/animal shelter environment.
  • Travel between the two campuses may be required.
  • Working at both campuses may be required.
  • Occasional weekend and evening work may be required.
  • Animal contact and related injuries may occur.
  • Noise exposure varies and sometimes includes uncontrolled barking and other animal vocalizations.
  • The pace of work is active and demanding, requiring a high degree of multitasking and ability to adapt to changing priorities while managing concurrent projects/tasks to completion.
  • Contact with angry or emotional people may occur.

Physical Requirements

  • Occasional lifting and moving of inanimate objects weighing up to 50 lbs.
  • Occasional use of hands and arms at or above shoulder level.
