Position Overview

The Senior Proposal Coordinator holds the responsibility of leading the company's proposal efforts, from the development of strategy to the final execution. This senior position ensures the alignment of proposals with the firm's strategic priorities. The role involves working closely with the marketing manager and firm leadership to oversee the proposal process and improve overall proposal delivery systems. The Senior Proposal Coordinator works with project teams to make significant decisions regarding the direction and positioning of proposals while maintaining the highest standards of quality and effectiveness in all proposal-related activities.


Responsibilities

Analyze and interpret Request for Proposals (RFPs) and other solicitation documents to understand client needs and project requirements.

Lead the development and implementation of proposal strategies, managing the entire proposal lifecycle for complex and strategic projects; and being able to translate technical expertise into winning proposal themes; working with subject matter experts to draft additional language when necessary

Facilitate meetings and communications among proposal team members to discuss strategy, progress, and assignments.

Assist project teams in preparing for project interviews.

Collaborate with subcontractors and other external entities as part of the proposal process.

Guide Proposal Coordinators I and II, fostering a collaborative and high-performing team environment.

Support the maintenance of ECO’s internal databases; maintain a repository of proposal documents, templates, and boilerplate content, including project descriptions, resumes of key personnel, and past performance references.

Support business development efforts by assisting in the preparation of materials for conferences, presentations, and client meetings.

Conduct initial assessments to determine the ECO’s fit for potential projects and contribute to go/no-go decisions.

Participate in marketing strategy meetings and contribute to the annual marketing work plan.

Review, disseminate, and track leads for public and private clients to support business development.

Assist with website updates, mail campaigns, social media management, updates to company collateral, and events management.


Qualifications

Bachelor’s degree in English, Writing, Marketing, Communication, Journalism, or a related field; a Master’s degree in a relevant field is a plus.

6+ years of experience in B2B marketing and proposal development within the A/E/C industry, with a proven track record of leading successful proposal efforts.

Expertise in Microsoft Office, Google Workspace, Adobe Creative Suite, CRM software, public procurement portals, and project management software

Exceptional leadership, strategic planning, and project management skills.

High level of organization and attention to detail

Outstanding communication, interpersonal, and mentoring skills, with the ability to lead by example and inspire excellence in others.


Salary and Benefits

The salary for this full-time exempt position will be commensurate with experience and market rates, roughly ranging from $72,800 -$86,008 annualy. This position is eligible for full company benefits including medical/dental/vision/life/disability insurance, flexible spending accounts, 401(k), and paid holidays.


Location

This position will be based out of our Portland, Oregon office and collaborate with other team members across all our office locations. ECOnorthwest has a hybrid work policy with the goal to have staff working from one of our offices three days a week (Tuesday, Wednesday, Thursday) with the option to work remotely on other days. For in-person workdays, the selected candidates will be working from our Portland office.
