Reed College seeks an experienced events manager to be our next Associate Director of Events in our Alumni Programs & Annual Fund department. You will manage the department’s alumni, fundraising, and other college events from start to finish. In addition to the tactical, this role also has a strategic component, working with department leadership to conceptualize which events would have the most meaning and impact. You will report to the Executive Director of Alumni Programs & Annual Fund.

This is a full-time, exempt role with work hours of 8:30 a.m. to 5:00 p.m. with a one hour unpaid lunch. As with most event planning roles, some evening and weekend work will be required. Pay is $62,000 per year. This is not a remote role.

What You’ll Do

  • Plan and execute Reed alumni events such as the college’s annual reunions in June and the alumni holiday party. Acts as project manager and on site leader for all of the department’s events. Events may be on campus, off campus across the country, or virtual.

  • Contribute innovative and technologically savvy ideas for the development and implementation of alumni events.

  • Responsible for on-site event management including: overseeing staff, resolving conflicts, creative problem solving of sudden changes, handling VIPS, and representing the college with vendors and guests as required.

  • Calculate and manage event budgets; forecast potential event costs and report regular updates. You will research vendors' services and pricing; negotiating contracts to secure services at optimal prices.

  • Develop and execute event marketing plans and marketing copy in collaboration with the Marketing & Communications Manager to achieve target attendance. Maximize participation.

  • Develop and maintain standardization and consistency in Alumni Programs and Annual Fund’s events policies and procedures. Standardizes event briefings and detailed event plans and offers logistical briefings to administrative leadership, faculty and volunteers.

  • Compile survey data, prepare reports, and develop metrics to analyze the success of events.
