Description
Our Office Manager works directly with the Chief Operating Officer to manage the processes, projects, and partnerships that keep 50+ employees across Oregon, 4 work sites, and family support programs operating smoothly. This will include maintaining and improving organizational systems, ensuring security protocols, managing contracts with vendors, and ordering supplies,
Requirements
Primary Duties and Responsibilities Include:
· Serves as our liaison for all major vendors and contractors including IT services, Janitorial/Housekeeping services, Security services, Employee Benefits Administration, and Lobby services to ensure the comfort of our guest families and the safety of our operations
· Oversees Inventory and Supply Management for our employees, buildings, and programs
· Provides direct oversight of our RPV Lobby Support team (currently staffed by a contracted Security services company)
· Provides direct support and project management for all employee recruitment and onboarding and provides support such as posting jobs, resume review, interview scheduling, reference checking, background screening, and administrative onboarding
· Provides direct support and project management for all employee benefits administration including employee enrollment and serving as our benefits administrator liaison.
Other Responsibilities
· Provides project management support to the Executive Leadership team
· Leads RFP processes and special projects, as needed
· Provides input on organizational processes and protocols related to employee support, safety, building operations and cost controls
Experience Required:
At least three years of experience in administration, operations or HR is required
Skills Required:
· Enthusiastic and outgoing with excellent customer service skills
· Confidence, sensitivity and diplomacy to interact and collaborate with people from diverse backgrounds
· Basic computer proficiency, including email, Word and Excel, and database management
· Ability to work well under pressure, meeting multiple and sometimes conflicting priorities
Work Environment:
Most work is conducted in an office environment. Attendance at events may be indoors or outdoors, possibly in hot or wet weather. In conjunction with certain events, employee may be required to lift packages (up to approximately 30 pounds) and stand for long periods of time.
