We are seeking a Floater Judicial Support (Judicial Services Specialist 3) for the Polk County Circuit Court in Dallas, Oregon.
The courts serve the public, and many of our customers are facing challenging life circumstances, high levels of stress, or confusion about their next courses of action. We value reliability and accuracy because we are a team providing access to justice and serving our community.
Most importantly, you will be working for Oregon’s court system, which provides justice services to your community and helping to ensure people’s cases are heard in a timely and impartial manner.
As Floater Judicial Support…
Much of your day will be spent preparing dockets and in the courtroom, where you will enter data during court events such as trials and hearings, preparing court orders and judgments, and creating a digital record of proceedings using a variety of software and equipment. You will also initiate and maintain a variety of files, records, and monitoring systems relating to progression and disposition of cases, proposed orders, correspondence, and conferences.
Outside the courtroom, you will regularly handle documents filed with the court (hard copy and electronic), determine next course of action, and route files and documents to appropriate persons. You will prepare a variety of correspondence, memoranda, and legal documents such as court orders, opinions, and instructions; proofread and correct these documents as necessary; prepare and process a variety of documents, forms, and orders requiring knowledge of court operations, legal terminology, format, and court’s case management system.
Customer service will be part of your duties, as you will provide administrative support in partnership with other clerks and assistants in the court; this will include litigants and attorneys with using the court system and coordinating court procedures, status of cases, and court calendars. You will have frequent interaction with law enforcement, judges, attorneys, parties to cases, and with many people who are facing challenging life circumstances or stressful situations. You will be expected to act professionally to all people whom you may encounter. You will use established policies and procedures to perform your work, while also ensuring statutory requirements are met.

The qualified applicant must have at least two (2) years of responsible, clerical experience in a moderately complex office or business setting involving the processing of financial, administrative, or legal documents.
Possession of a high school diploma or GED, or equivalent life or work experience.
Any combination of education and experience equivalent to three (3) years that supports the knowledge, skills, and abilities for this position.

This is a full-time position and the work schedule currently is 8:00 a.m. to 5:00 p.m. Monday through Friday. It is eligible for overtime compensation for hours worked in excess of 40 per work week. Occasional after-hours or overtime work may be required.
Daily contact with public regarding court processes including working with parties involved in civil, family and criminal court cases.
Daily work with confidential documents and information.
Frequent phone and in-person contact with people from diverse backgrounds.
Frequent phone and in-person contact with people who may at times be angry, hostile, confused, frustrated, or experiencing trauma.
Regular use of the following office equipment: telephone, personal computer, multiple monitors, copy machine, fax machine, scanner, and digital recording equipment.
Long periods of sitting or standing may be required.
Occasional lifting-up to 10 pounds of office material or equipment may be required.
