About Us:

The mission of the Hardy Plant Society of Oregon (HPSO) is to nurture the gardening community. Our vision is to make the world a better place through horticulture. We are a membership organization for gardeners at all levels. Founded in 1984 to serve Oregon and Southwest Washington, HPSO currently has almost 3000 members throughout the Pacific Northwest and beyond. We promote education around plants, garden design, and gardening techniques, and we organize plant sales, lectures, book sales, and study weekends that are attended by gardeners from the Pacific Northwest and across the country. We also publish a weekly email newsletter and quarterly magazine, coordinate a popular Open Gardens program and offer tours of the great gardens of the world.

About You:

You love to help others, you go the extra mile to create a great customer experience, you are organized and curious and you like to find solutions. You have experience with Memberclicks, or you are very comfortable with a comparable database/CRM and understand how you can apply that knowledge to our platform. You enjoy gardening and plants and want to learn more. Your work ethic drives you to take initiative and responsibility for your work, and you are at ease working with a variety of people and softwares. You are tech savvy, have excellent writing and communication skills, and you are the kind of person who takes pride in doing your job well.

About the Job:

The Membership Manager will provide the lead administrative support for the many programs, activities and events that engage and serve HPSO members including:

Manage our Memberclicks system that contains our database, website, forms and communications system

  • Enter new members, renew memberships and respond to member inquiries
  • Regularly update the HPSO website with activities, events, forms, etc.
  • Create and distribute the organization’s weekly email newsletter, GROW 
  • Support the distribution of HPSO’s Quarterly magazine
  • Create and run reports from Memberclicks
  • Troubleshoot issues as they arise
  • Make necessary adjustments to Memberclicks as new needs are identified

Manage social media accounts

Provide administrative support to volunteer-led HPSO committees and activities

  • Develop and update event registration forms
  • Track registrations, payments and participants
  • Communicate regularly with Committee Chairs
  • Support committees tracking and adhering to their budgets
  • Maintain up to date committee rosters
  • Schedule and facilitate Zoom speaker events 
  • Attend some committee meetings and events
  • Manage email and USPS correspondences 
  • Provide other support as needed

Oversee office management

  • Greet and assist members who come to the HPSO office
  • Open and sort mail, answer the phone and return voicemail messages
  • Send new member packets
  • Send donation acknowledgements
  • Maintain office equipment and order office supplies
  • Manage subscriptions and software
  • Program Square devices as needed
  • Run 90-day Control Scans
  • Serve as the primary administrator for Google Workspace
  • Track users, logins and passwords for all platforms
  • Manage the internal organizational calendar
  • Maintain a current log of who has office keys and fobs
  • Schedule evening and weekend building access when needed

Support bookkeeping

  • Work in conjunction with the Executive Director to code and submit items for the bookkeeper
  • Support executing international wire transfers as needed
  • Assume any financial management responsibilities delegated by the Executive Director

HPSO is an ever-evolving organization, so additional responsibilities may be assigned.

Additional Information:

  • Position is full time exempt and will be done both in the SW Portland office and remotely; occasional evening and weekend work will be required
  • Salary range is $55,000 - $65,000 depending on experience and demonstrated skills
  • Membership Manager reports to the Executive Director
  • PTO includes 10 paid holidays, 10 vacation days and 5 sick days
  • Health insurance is provided as a $500/month HSA contribution
  • Estimated start date in mid-late April
