PAY: $21.32/hour

Established in 1996, the Clean Start Program offers full-time employment and essential job skills to the client base of Central City Concern. By providing comprehensive trash removal and cleaning services across the Portland metro area, Clean Start not only helps maintain a cleaner environment but also empowers its participants with valuable work experience and the opportunity to build a brighter future.

The Administrative Assistant is responsible for assisting the Clean Start management team with overall operations and with administrative support in the day-to-day operations of the program. The Administrative Assistant is also responsible for responding to dispatch calls from businesses or ratepayers who need assistance with outdoor cleaning in public spaces or graffiti removal downtown. This position will answer the phone and dispatch cleaners during the entire shift.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Greet and direct clients and visitors in a respectful manner at all times.
  • Answer incoming calls, take messages, and/or direct as appropriate. Triage incoming calls to ensure they are in the district and is a service we provide.
  • Document and log all incoming dispatch calls in excel.
  • Monitor work order system, phone, and email. Assign closest cleaner to complete each request.
  • Organize all meetings and special events, including reserving conference rooms as needed.
  • Provide admin support for Clean Start employees, customers, or contract partners.
  • Maintain accurate electronic records of requested all clean-ups.
  • Responsible for printing and posting all required notices in the office.
  • Coordinate office activities as needed.
  • Coordinates special requests with security partners, contract partners, and Clean Start management team.
  • Responsible for data entry of all material picked up and services completed.
  • Assist management with tasks as needed.
  • Facilitate office management systems, supplies ordering, and site operations.
  • Assist with routine checks of office machines and make necessary contacts to keep items in good working order.
  • Responsible for understanding the Anderson agreement and following it regarding personal property.
  • Adhere to all state and federal privacy regulations, including HIPAA and 42 CFR Part 2, and to CCC policies and agreements regarding confidentiality, privacy, and security. Support compliance with all privacy and security requirements pursuant to community partners and outside providers’ patient confidentiality agreements, including privacy and security requirements for EMR access. This includes immediate reporting of any PHI breach of CCC or outside provider health records to the CCC Legal and Quality departments, as well as to the program administrator.
  • Adhere to all CCC policies, procedures, and guidelines.
  • Attend all required meetings and trainings.
  • Perform other duties as assigned.

MINIMUM QUALIFICATIONS:

  • High school diploma or completion of G.E.D required.
  • Proficient in Microsoft Office software, including Word and Outlook. Prefer experience in Excel. Experience with office machines (fax, photocopier, printers, postage machines, etc.) and excellent keyboard skills required.
  • Must have at least one year administrative support experience
  • Must pass a pre-employment drug screen and background check.
  • Sufficient manual dexterity and physical ability to perform duties
  • Must have the ability to bend, stoop, kneel, squat, twist, reach, pull and lift heavy objects.
  • Must be able to climb stairs several times a day.
  • Will be required to carry an agency cell phone for work use. Cell phone will be provided by Central City Concern.
  • Current driver’s license preferred but not required, including access to a vehicle and qualifying as an Acceptable Driver as designated in Central City Concern’s Fleet Safety policy. Must pass an initial driver training within 60 days of being an approved driver and continued recertification training. Must maintain vehicle insurance coverage of a minimum of $100,000/$300,000 personal auto liability coverage.
