The Oregon Judicial Department is hiring a Judicial Services Specialist 3 to join the Tillamook County Circuit Court. Judicial Services Specialist 3s assist with case processing, in the courtroom, with operations, and court customers. As a Judicial Services Specialist 3…

Much of your day is spent performing court case workflow tasks. Workflow includes examining paperwork for accuracy, receiving documents from parties to cases and attorneys, entering case data in OJD's electronic case management system, and sharing case-related information with judges and court staff. You will prioritize the majority of your work and be responsible for the processing of civil, domestic, probate, evictions, criminal, traffic, juvenile, mental and adoption cases from the time they are filed with the court until they are no longer active with the court.

You will also be assigned to courtroom duties including using recording equipment to log all events in real-time, swearing-in of witnesses, marking and maintaining exhibits and exhibit logs and entering data onto each case register while the court is in session. Archiving cases by scanning into the court’s internal case management system and reviewing various electronic reports for data quality will be part of your duties.

You will assist the public at a public service counter and on the phone by performing license reinstatements, supplying forms and payment history, certifying copies, and receiving payments via cash, credit/debit cards, and checks for balances owed to the court. You will also work with the court’s budget division to adjust/flag accounts.

Assigned tasks may be changed to accommodate workload and organizational needs. Previous experience in a court or legal environment is preferred but not a requirement. We welcome all candidates who are inspired by our work and mission.

Minimum Qualifications

The qualified applicant must have at least two (2) years of responsible, clerical experience in a moderately complex office or business setting involving the processing of financial, administrative, or legal documents.
Possession of a high school diploma or GED, or equivalent life or work experience.
Any combination of education and experience equivalent to three (3) years that supports the knowledge, skills, and abilities for this position.

Working Conditions

  • This is a full-time position and the work schedule currently is 8:00 a.m. to 5:00 p.m. Monday through Friday. It is eligible for overtime compensation for hours worked in excess of 40 per work week.
  • Occasional after-hours or overtime work may be required.
  • Frequent phone and in-person contact with people from diverse backgrounds.
  • Frequent phone and in-person contact with people who may be facing challenging life circumstances, highly stressful situations, or trauma.
  • Regular use of the following equipment: telephone, personal computer with multiple monitors, copy machine, fax machine, and scanner.
  • Extended periods of sitting or standing may be required with daily data entry.
  • Lifting up to 10 pounds of office material or equipment may be required

Criminal Background Check
You will be subject to a criminal background check if you are a finalist. Adverse results are evaluated on a case-by-case basis and may result in disqualification if the circumstances are directly related to the duties and responsibilities of the position.
