Primary Purpose:

The Regional Program Associate assists Program Officers with implementation and maintenance of the Community Grants program and regional funds, with an emphasis on those based in and/or supporting the Southern Willamette Valley, South Coast, Northern Willamette Valley and Southern Oregon. The primary responsibilities are to coordinate, administer and monitor OCF’s responsive and proactive investments and associated processes/activities, including but not limited to the statewide Community Grants Program, local arts and education-related initiatives, volunteer programs, strategic investments, community and corporate advised funds.

OCF employees are expected to work a minimum of three days in the OCF office beginning 2/21/2023. We are in the process of assessing eligibility for hybrid work schedules for our positions. After the initial training period, this position may be assessed as having an option to work remotely for a portion of the week.

Essential Duties and Responsibilities

A. Grants Administration - Percentage of Time: 40%

  • Manage administrative processes for the Community Grants Program, regional community/corporate advised funds and other grant programs as identified.
  • Collaborate with the Metro Program Associate to provide administrative support to the statewide Community Grants program team.
  • Work closely with Senior Program Officers Statewide and Metro to plan Community Grants cycle timelines and processes; communicate to program team and track progress.
  • Update/maintain any grant-related information in database.
  • Partner with Senior Program Officers for Metro and Statewide to collect, analyze and synthesize qualitative and quantitative information related to OCF grantmaking.
  • Coordinate production of materials and reports for use by staff, the board, subcommittees of the board. Develop and maintain diverse materials and reports for various external and internal audiences.
  • Help develop and implement processes for new grant programs and strategies as needed.
  • Serve as liaison with Marketing and Communications to provide content updates for external and internal storytelling (annual reports, social media, etc.)
  • Support internal and external communication channels, including development and email management of nonprofit newsletter.
  • Support ongoing internal stakeholder convenings across programs and departments.
  • Review grant applications as needed.

B. Committee Management and Support - Percentage of Time: 30%

  • Support Regional Program Officers with community and corporate advised funds as assigned.
  • Organize and help lead community meetings, grantee and stakeholder convenings, advisory committees. Assist with overseeing invitation lists, logistics and outreach efforts.
  • Facilitate online review of applications with volunteers.

C. Community Engagement: Outreach and Communication - Percentage of Time: 25%

  • Provide guidance and answer questions for prospective grant seekers regarding OCF’s programs; participate in outreach efforts. Track contacts and manage email database.
  • Support Regional Program Officers in community engagement efforts, including: Serve as an OCF representative at grant-seeker workshops, stakeholder meetings and volunteer gatherings, occasionally in a public-speaking role. Assist in coordination of invitation lists, outreach and logistics, and trainings.
  • Assist Regional Program Officers in development of regional strategies for community engagement in alignment with OCF's strategic plan priorities and organizational values.
  • Serve as a resource to OCF staff for planning community engagement strategies that impact the region.
  • Assist with implementation in region of OCF’s statewide strategies and programs, including convening groups and participating in grantmaking programs. Work to increase regional funder partnerships.
  • Prepare for and conduct site visits as needed and make recommendations upon conclusion of visit.
  • Manage and update contacts and lists for targeted community outreach and engagement efforts and events.
  • Lead content development and communication via approved channels to support nonprofit and community engagement (e.g., In Community newsletter).

D. Supervision - Percentage of Time: 0%

  • No supervisory responsibilities

E. Other Duties - Percentage of Time: 5%

  • Assist other department and regional team members as appropriate to carry out the work of the department and region.
  • Participate in statewide efforts to advance branch and department priorities as appropriate.

Required Experience and Education:

  • Four years’ progressively responsible administrative experience and/or project management experience in a nonprofit, educational institution, or other relevant setting.
  • Bachelor's degree in a related field or equivalent experience in lieu of degree.

Required Professional Competencies:

  • Familiarity with grants administration, grant writing processes, specific grant initiatives in Oregon.
  • Demonstrated ability to review and interpret budgets and financial statements, and growing familiarity with indicators of nonprofit health.
  • Ability to analyze, think critically, explain alternatives and identify and lead process improvements.
  • Comfort with ambiguity and uncertainty.
  • Ability to convey information clearly, effectively, and engagingly orally and in writing.
  • Excellent interpersonal and collaboration skills with ability to develop and maintain relationships and work collaboratively to achieve positive outcomes.
  • Cultural agility skills necessary to work effectively with diverse people, teams and communities.
  • Strong organizational skills--detail-oriented, able to work independently and in a team, able to prioritize and manage several tasks efficiently, able to meet multiple deadlines, and able to shift priorities and adapt to change.

  • Good problem solving and analysis skills, able to synthesize information gathered from several sources.
  • Strong knowledge of MS Word, Outlook, Excel, PowerPoint and Teams. Experience working in a network environment with an integrated database.
  • Requires valid driver’s license and personal vehicle to effectively perform job duties.

Physical Demands and Working Conditions: This job is typically performed under very comfortable working conditions; any disagreeable elements are generally absent during the normal performance of the job. Job duties mostly are performed in an office setting or indoor meeting rooms. Requires repetitive use of keyboard and monitor, and ability to sit or stand for long periods at a time. Requires ability to use telephone and standard office equipment. Requires ability to perform site visits and communicate verbally with others.

Requires ability to lift, carry, pull, push, reach, manipulate, drive, and extensive use of keyboard/typing.

The amount of effort typically applied and the frequency of application: (Whereas, the following refers to lifting, any equivalent effort may be substituted.)

Less than 1 pound – Effort applied 40% to 70% of the time.

Between 1 and 5 pounds – Effort applied 15% to 40% of the time.

Between 5 and 25 pounds – Effort applied less than 15% of the time.

Effort is typically applied while sitting, walking and standing.

Travel - Percentage of Time: 20%

Regional and statewide for site visits, outreach events, check presentations, educational workshops, community and committee meetings, etc. Some overnight stay is required.


Safety: Support a safe work environment by performing work duties safely and according to procedures. This includes reporting all injuries, illnesses or accidents sustained while working to your immediate supervisor as soon as possible after the occurrence or within 24 hours of the injury, illness, or accident, and reporting any accident involving OCF vehicles, equipment, or other property, regardless of the nature of the accident, to your immediate supervisor as soon as possible after the accident.

Attendance Requirements: Regular punctuality and attendance are required as well as periodic attendance at after-hours events or work beyond regular business hours.

Compensation and Benefits: This is a non-exempt, full-time position. OCF’s regular workweek is 37.5 hours. The hiring range for this position is $65,000 to $75,000, DOE. Salary offers are determined in conjunction with an internal pay equity assessment.
