The Position
The Manager, Admissions & Transport is responsible for the management of the Admissions Department and Second Chance teams at the Oregon Humane Society. This role involves managing shelter intake and capacity through scheduled owner surrender appointments, foster bring back appointments, and partner agency transfers. The Admissions & Transport Manager will use a trauma-informed approach to coach staff and engage with the community and partner shelters.

PRIMARY RESPONSIBILITIES
- Oversee daily operations, develop and implement strategic plans, and ensure alignment with organizational goals. Foster cross-departmental collaboration and communicate priorities effectively.
- Coach, develop, and empower staff. Provide timely feedback, role model trauma-informed practices, and create a culture of continuous improvement. Recruit, hire, and build a strong team, engaging staff with structured training to maximize effectiveness.
- Actively participate in day-to-day operations and efficiently allocate resources to meet departmental needs.
- Understand animal behavior, guide discussions on animal pathways, and make informed decisions about their care and placement, including euthanasia decisions.
- Manage emotionally charged situations with tact, empathy, and respect. Address challenges using logic and analysis, manage multiple demands calmly, and adjust priorities with resilience.
- Utilize Excel for data analysis, projections, and reporting. Provide detailed analytics on intake plans and shelter metrics to support strategic planning and decision-making as defined by the Director.
- Communicate clearly in written and verbal forms, deliver presentations, and build strong networks with external and internal stakeholders and partners.
- Effectively utilize volunteers, adhere to safety protocols, and ensure a safe environment for all.
- Enhance financial performance through effective budgeting, cost containment, and thoughtful spending. Authorize expenditures and ensure efficient use of resources and supplies.
- Continuously improve processes to enhance client experience. Develop resources and guides to help clients keep their animals, reducing surrender rates.
- Act as a catalyst for change by staying informed on industry issues. Utilize historical insights to improve current processes and decision-making.
- Adhere to all safety, training, handling, and transportation protocols, and ensure compliance with organizational policies. Assist with public education initiatives and special events sponsored by the organization.

- Salem Manager Supervises 5-7 direct reports: Admissions Team Lead(s), Admissions Technicians Levels 1, 2 & 3, Second Chance Coordinator/Driver

- 5 years related work experience, including progressively complex project and people management responsibilities in Operations, Animal Welfare, or Veterinary Medicine Leadership or Bachelor’s Degree in a field related to Animal Welfare, Hospitality/Retail or Business Administration.
- Advanced knowledge and experience with a wide variety of companion animal species, predominantly dogs and cats, including the ability to assess behavioral attributes and general health conditions.
- Proficient in preparing, evaluating, and reporting on financial and operational performance metrics of moderate to high complexity, ensuring effective financial stewardship and resource management.
- Proven ability to develop and manage teams and projects effectively.
- Excellent verbal and written communication skills.
- Ability to engage with a diverse population.
- Skilled in resolving project workflow issues and handling confidential matters with discretion.
- Demonstrated ability to quickly learn new tasks, follow instructions, and achieve proficiency independently with minimal supervision
- Proficiency in Microsoft Office tools, including Word, Excel, PowerPoint, and Outlook.
- Flexibility to work evenings, weekends, and/or holidays as required.
WORKING CONDITIONS
- Work is performed in an office and medical center/animal shelter environment.
- Travel between the two campuses may be required.
- Working at both campuses may be required.
- Occasional weekend and evening work may be required.
- Animal contact and related injuries may occur.
- Noise exposure varies and sometimes includes uncontrolled barking and other animal vocalizations.
- Pace of work is active and demanding, requiring a high degree of multitasking and ability to adapt to changing priorities while managing concurrent projects/tasks to completion.
- Contact with angry or emotional people may occur.
PHYSICAL REQUIREMENTS
- Occasional lifting and moving of inanimate objects weighing up to 50 lbs.
- Occasional pushing and pulling of carted items weighing up to 100 lbs.
- Occasional moving items above shoulder level.
- Occasional use of hands and arms at or above shoulder level.
- Prolonged standing, sitting and/or stooping may occur.
- Occasional climbing and bending.
- Must be able to lift, move, restrain, guide, or manage an animal weighing up to 150 lbs. on a leash on an occasional basis.

- Ability to respond and perform life saving techniques in an emergency.
