Come join a growing team of conservation professionals at the Xerces Society who are dedicated to protecting some of the world’s most important animals.  We are seeking a dedicated and creative, full time Donor Liaison to help grow our individual giving. 

 

At Xerces, we harness the knowledge of scientists and the enthusiasm of the public to implement conservation programs.  We take action by helping farms and public agencies develop conservation plans for pollinators and beneficial insects, producing ground-breaking publications on insect conservation, training thousands of farmers and land managers to protect and manage habitat for beneficial insects, protecting endangered species and their habitat, and engaging the public to raise awareness about invertebrates found on farms, forests, prairies, deserts, streams, wetlands, towns and cities. Our methods focus on habitat conservation planning, education, scientific analysis, advocacy, and applied research to conserve invertebrates, such as bees, butterflies, mollusks, and fireflies.

WHAT YOU’LL BE DOING: 

Reporting to the Director of Membership, the Donor Liaison plays a primary role in supporting donor cultivation, stewardship, and engagement. As a member of the individual giving team this position will take the lead in making sure that Xerces donors feel appreciated and engaged in the Xerces community. A key responsibility of this role will be to formulate and implement plans for growing and improving our individual giving program and making sure that it is a welcoming place for a diversity of donors.

 

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES: 

Working as part of our Membership team, the Donor Liaison will:

  • Act as a donor liaison for key donor groups particularly mid-level donors, monthly donors, long-time donors, and proud supporters. Actively steward these groups by designing ways to thank, engage, and open lines of communication with them. This can include a mix of writing, calling and one-on-one meetings with donors when safe to do so. Set target actions to complete on a weekly and monthly basis. Maintain excellent notes on these activities for reporting, and determine methods to evaluate the effectiveness of this work.
  • Be able to guide donors in the donation process and understand donation rules for 501(c)(3) nonprofit giving including restricted, donor advised, IRA, and stock gifts and respond to donors in a timely, professional, and courteous manner.
  • Understand, and follow all department donation processing and data entry procedures.
  • Review the weekly check donations and complete acknowledgment letters accurately and in a timely manner, including donor advised gifts, IRA gifts, stock letters, and other special letters as needed.
  • Engage donors in program and organizational work, through methods such as events or campaign actions both online and in-person when safe to do so.
  • Search for and identify opportunities to represent Xerces at events to gain new members and expand our reach.
  • Actively participate in the generation of new ideas, strategies, and software adoption that will help Xerces better retain donors, work more efficiently, and increase funding.
  • Identify, complete, and renew applications to third party accreditation groups that raise our profile among donors including BBB, Charity Navigator, and Guidestar.
  • Maintain the donor spotlight on our website and update it at least 4 times per year. This involves identifying a diversity of donors to showcase relationships and putting the profiles together that will be viewed by the public.
  • Keep donor information and payment information secure and confidential and notify management if there appears to be any breach in security.
  • Other duties as assigned.

 

KNOWLEDGE, SKILLS, AND EXPERIENCE:  

REQUIRED

  • Enjoy working with a diversity of people, possess a positive attitude, and genuine interest in engaging donors in the Xerces’ work.
  • Excellent communication skills in English (written and oral) and time management skills.
  • 2+ years’ experience in nonprofit fundraising work.
  • Proficiency using Salesforce.com, or other donor management software.
  • Familiar with IRS rules for 501(c)(3) nonprofits.
  • Ability to work independently and design, execute, and evaluate work that promotes and increases organizational funding.
  • A high level of attention to detail.
  • Excellent computer skills, including strong familiarity with the following programs: MS Office Suite (Word, Excel), Google Suite, Adobe Acrobat, and general internet usage.
  • Mid-level Excel skills, including the ability to complete mail merges, conditional formatting, and sorting. This job requires regularly sorting large spreadsheets of data.
  • Good judgment and ability to juggle multiple tasks while meeting shifting deadlines, and implement sound solutions when problems arise.
  • Ability and willingness to work with diverse teams and constituents in a respectful, equitable, and inclusive fashion.

 

 

PREFERRED

  • Knowledge about and dedication to environmental conservation.
  • Experience with donor cultivation including personal communications, campaigns, implementing a planned giving strategy or similar activities.

 

QUALIFICATIONS: 

REQUIRED

  • Two years equivalent work experience.
  • Must have current authorization to work in the United States with any employer.  Visa sponsorship is not provided for this position.

 

PREFERRED

  • Associate or Bachelor’s Degree.
  • Coursework completed in nonprofit studies.

 

PHYSICAL REQUIREMENTS: 

Be able to perform the following with reasonable breaks and/or reasonable accommodations:

  • Operate a computer and other office productivity machinery, such as a telephone, copy machine, and computer printer for periods of 1-8 hours.
  • Occasionally be able to move and transport supplies weighing up to 20 lbs.


STATUS:  Full-Time, hourly, non-exempt position, scheduled to work 40 hours/week.  Schedule can be made flexible and opportunity for a mix of in-office and remote work available, consistent with work requirements.
